Availability

Opti-Script service is available 24/7/365. After-hours STAT reports are requested via a toll-free number. 

Qualified Workforce

Opti-Script values credentialing with over 35% of its transcription/editing workforce maintaining credentials through the Association for Healthcare Documentation Integrity (formerly AAMT).  All Quality Assurance editors are CMTs with a minimum of 8 years’ acute care experience, and all transcription managers are CMTs with at least 10 years’ acute care experience. 

Opti-Script encourages employee participation in local, state, and national AHDI events. 

Quality Assurance

Medical transcriptionists and editors at Opti-Script are supported by the CQM (Continuous Quality Management) team, all of whom are CMTs and have greater than 20 years’ transcription experience. 

The quality assurance process includes both concurrent review (as the document is being completed) as well as random retrospective review.  Each MT employed by Opti-Script is reviewed and scored monthly for continuous improvement and ongoing education. 
All accounts are reviewed no less than quarterly with results reported to the customer.  Random QA audits are also completed at the request of the customer for specific analysis. 

Confidentiality

Adherence to all HIPAA regulations and execution of BAA agreements is the expectation with each provider site.  All employees receive continuous training, annually signing a confidentiality agreement after undergoing refresher training and retesting to ensure ongoing HIPAA compliance. 

Billing Integrity and Transparency

Detailed billing statements provide customers with provider identification, medical record number, lines transcribed, and cost of each report.  Monthly physician and worktype summaries are also available for all customers.  Complete invoicing transparency is an Opti-Script core value, and an independent audit can be requested.

A number of billing options are available, including the AHIMA/MTIA approved VBC (visual black character) billing definition. 

Technology 

From initial inquiry, Opti-Script endeavors to partner with its customers by understanding their documentation requirements, completing a Needs Assessment Survey. Upon discovery and evaluation, a workable solution is crafted that leverages customer assets and workflow to present options and solutions for consideration with the goal of quality documentation, system reliability, prompt turnaround time (TAT), and affordability.

Opti-Script strives to achieve an integrated position to each medical facility’s current workflow regardless of the manufacturer. Options include remote transcription workstations, toll-free dictation access, digital portable devices, FAX delivery, secure web portal, and/or direct printing of reports locally. 

Opti-Script contractually commits to specific TAT requirements. The management team partners with customer IT and medical staff to develop and test disaster recovery solutions.  IT staff helps create and administer affordable HL7 interfaces, VPN solutions, and document uploads. Integration with client data systems allows storage of documents in any format.
